Avoiding the 'rental car' look in meetings

By Fiona Stewart, Events Coordinator·December 20, 2024·4 min read

First impressions in the Edinburgh business world often happen before you even say hello. When you pull up to a meeting at Charlotte Square in a car covered in barcodes and rental agency stickers, it sends a clear message. It says you are just a visitor and perhaps not a very permanent one.

The hidden cost of the rental barcode

Most rental companies in the UK treat their cars like moving billboards. They put large yellow or white barcodes on the side windows and rear windscreens. Some even stick their company website address on the bumper. If you are meeting with a new client near the Gyle or Dundas Street, these small details matter. A barcode screams that the car is temporary. It suggests you are working out of a suitcase rather than a stable office. We found that 14 out of the 15 largest rental chains in Scotland use these tracking stickers. It makes their logistics easier but it makes your arrival look cheap.

At Thistrict, we have a strict no-branding policy for our 48 vehicles. We do not use window stickers or even branded key fobs. When we delivered a Volvo S90 to a regular client in November 2024, he noted that his business partners in the financial district thought the car was his own. That is exactly the point. You want the focus to be on your proposal and your firm, not on the fact that you just picked up a car from a busy airport lot. We even go as far as removing the dealership name from the plastic frames around the number plates. It is a clean look that fits the grey stone and dark windows of Edinburgh's New Town.

Why our fleet is almost entirely navy blue

We spent a lot of time looking at what cars local business owners actually drive. In Edinburgh, black cars are often mistaken for private hire taxis. Silver cars can look like generic company vehicles for a sales team. We decided to build what we call our aristocratic blue fleet. Currently, 87% of our cars are finished in a deep navy blue. It is a colour that looks professional and expensive but does not look like you are trying too hard. It blends in perfectly at the airport terminal and the high-end hotels on George Street. It works well with the Scottish light, which can be quite flat and grey for 6 months of the year.

Choosing navy blue was not just about style. It is about psychology. A navy car looks solid. In our February 2024 review of client feedback, 23% of our users mentioned the colour of the car as a positive factor in their booking. They felt it gave them a sense of authority when they arrived at a construction site or a legal office. We keep the paintwork in top condition using a specific ceramic coating. This prevents the swirl marks you often see on cars that have been through a cheap automatic car wash. Every car in our fleet of 48 is hand-washed for 2.4 hours before it leaves our yard near Gogarburn.

Removing the industrial cleaner smell

If you have ever rented a standard car, you know that smell. It is a mix of cheap lemon spray and industrial carpet cleaner. It hits you the moment you open the door and it clings to your suit. If you arrive at a meeting smelling like a cleaning cupboard, it is a distraction. Our team of 5 cleaners at the George Street office avoids those chemicals. We use a high-powered steam cleaner and a neutral leather conditioner. This leaves the cabin smelling like a car should—clean, dry, and slightly like leather. We found that 32 of our recurring clients in 2024 specifically mentioned the lack of 'rental smell' as a reason they stopped using the bigger chains.

We also pay attention to what is inside the car. Most rentals are basic models with plastic steering wheels and small screens. Our 48 cars are all high-spec versions. We focus on the Volvo S90 B5 and the BMW 520d. These come with real wood trim and leather seats as standard. When you give a lift to a colleague or a potential partner, they will feel the difference immediately. There are no loose papers, no old receipts in the door bins, and no sticky cup holders. We spend 35 minutes just on the interior detailing for every single booking. (Actually, we even use a tiny brush to clean the dust out of the air vents.)

The 55-minute delivery promise

Time is the biggest stress for managers landing at Edinburgh Airport. Waiting in a queue at a rental desk for 45 minutes is a terrible start to a trip. We changed the process. We monitor your flight number in real-time. Our driver stays in the short-stay car park once your plane touches down. We promise to have the keys in your hand in 55 minutes from the moment the wheels hit the tarmac. You do not need to take a shuttle bus to a remote lot. You walk out of the terminal, meet our driver, sign a 1-page digital tablet, and you are gone. It is a direct handover that respects your schedule.

Our logistics team is small and fast. We have 3 dispatchers who coordinate the deliveries from our holding area 3.2 miles from the airport. This proximity allows us to be flexible. If your meeting location changes at the last minute, we can often redirect the car while you are still in the air. In October 2024, we managed to redirect 7 deliveries for clients whose plans shifted due to train delays at Waverley. We don't have a massive call centre. You talk to the person who is actually holding the keys. This level of direct service is why we have 83 ongoing business accounts that use us every time they visit the capital.

No ads and no clutter

The modern business car should be a tool, not a billboard. Many rental companies now put tablets in the back of the seats that play ads or suggest local tourist spots. We find that offensive to a professional passenger. Our cars are a quiet zone. The only thing you will find in the seat pocket is a fresh bottle of water and a 1-page guide on how to connect your phone to the car's sound system. We cleared out all the clutter. There are no service stickers on the door frames and no oil change reminders on the dashboard. Everything is handled behind the scenes so you can focus on your work.

This clean approach extends to our pricing. We do not have hidden fees for 'premium' valeting or airport surcharges that appear at the end. We provide a fixed quote within 24 hours of your enquiry. Our average daily rate is higher than the budget firms, but our clients know they are paying for the lack of hassle. We work with 47 active clients who specifically require unmarked vehicles for security or privacy reasons. Whether you are visiting a tech hub in Livingston or a law firm on Queen Street, your car will look like it belongs to a local executive. It is a simple standard, but it is one that we uphold for every single mile.
