We provided 7 matching high-spec sedans for a visiting energy board. All cars were delivered to the airport within 12 minutes of each other.
A board of 7 directors and 7 assistants from North Sea Energy Partners landed at Edinburgh Airport on July 14th. They needed to reach their George Street headquarters for a 9:00 AM session without the typical delays of a large group arrival.
The challenge
The group required 7 separate vehicles to allow directors to conduct private phone calls during the 20-minute drive into the city. Most rental firms in Edinburgh struggle to provide more than 2 or 3 matching cars on short notice, often resulting in a messy mix of silver, black, and white cars covered in branding stickers.
Timing was the biggest hurdle. Usually, when booking multiple cars, the first few guests wait for 15-20 minutes at the curb while the final cars struggle through airport security or traffic. For this board visit, a split arrival was not an option as the agenda was tightly packed with only 12 minutes allocated for the transition from the terminal to the road.
Our approach
We designated 7 identical cars from our navy blue fleet and assigned 8 staff members—7 drivers and 1 on-site coordinator. The coordinator monitored flight NSE882 in real-time using the local radar data to account for the 8-minute early touchdown.
We positioned the drivers at the international arrivals gate by 8:12 AM, each holding a tablet with a specific passenger name. To ensure a smooth exit, we pre-paid the airport exit fees for all 7 vehicles at 8:05 AM to avoid any queues at the barrier. We chose the A90 route to bypass the ongoing utility works near the Haymarket junction, ensuring a clear run to George Street.
The solution
We delivered 7 high-spec sedans with no external ads or rental stickers, maintaining the professional look the board required. Each car was stocked with 500ml glass water bottles and the morning's financial papers, ready for the passengers as soon as they sat down.
The coordinator managed the luggage loading so that all cars could depart the terminal within a 4-minute window. This meant the entire delegation arrived at the office in a single convoy, rather than trickling in one by one. By using our George Street base for preparation, we ensured each car was valeted and inspected just 35 minutes before the flight landed.
Results
