How we deliver cars to EDI in 55 minutes

By Callum Murray, Fleet Manager·November 12, 2024·4 min read

We don't use the standard airport rental desks because they take too long and involve too much queuing. Our system relies on a staging yard 3.2 miles from the terminal and a team of 7 dedicated drivers who know the back roads of Ingliston. This setup ensures that when a client calls, a car is ready to move within 4 minutes.

The staging yard 3 miles from the terminal

Our main operations happen in a small, fenced yard located exactly 3.2 miles from the Edinburgh Airport terminal. We don't pay for expensive desk space inside the airport because that money is better spent on keeping our 47 navy blue vehicles in top condition. In this yard, we keep a rotating stock of 12 cars that are fully valeted and fueled at all times. When a booking comes through our system, the assigned driver is already standing by the vehicle.

By keeping our cars off-site but within a 6-minute drive, we avoid the congestion of the main airport parking hubs. Callum Murray, who has managed our fleet since 2019, oversees a strict 14-minute preparation checklist for every car that leaves the yard. This includes checking the tire pressure to exactly 32 PSI and ensuring the tank is filled to the click. We focus on these small details so the car is ready for a 200-mile round trip the moment you sit in the driver's seat.

Heads-up: If you are arriving on the red-eye flight from London City, we usually have the car idling in the short-stay area before you even clear baggage reclaim.

Aristocratic blue fleet standards

Every car in the Thistrict fleet is painted in a specific shade of navy blue. We call it our aristocratic blue fleet. We chose this color because it looks professional for business meetings at the Edinburgh International Conference Centre but doesn't stand out like a bright rental car. We currently have 28 BMW 5-Series and 19 Audi A6 models, all less than 3 years old. None of these cars have stickers, barcodes, or advertisements on the bumpers.

Keeping the fleet uniform makes our maintenance much faster. Our team of 3 in-house mechanics knows these two specific models inside and out. They can perform a full safety inspection in roughly 22 minutes between hires. This level of focus means we don't have to wait for external garages to find parts or diagnose issues. We carry our own stock of brake pads and filters for these specific models to ensure no car sits idle for more than 5 hours.

By the way, we keep a spare set of high-quality umbrellas in every boot because this is Edinburgh, after all, and the weather changes every 15 minutes.

The 55-minute countdown

Our 55-minute delivery promise isn't just a marketing slogan; it's a timed protocol we've used for 142 regular corporate accounts. The clock starts the second a booking is confirmed on our tablet system. The driver has 4 minutes to grab the keys and the pre-packed 'welcome kit' which includes a local map and two bottles of water. They then take the Eastfield Road route, which we've timed at different hours of the day to account for the heavy traffic near the Hilton hotel.

We use live flight tracking data from EDI to see if your plane is landing early. If the flight from Frankfurt touches down at 14:12 instead of 14:30, our driver adjusts their departure from the yard immediately. We aim to be in the designated pick-up zone at least 8 minutes before you walk out of the sliding doors. This small buffer allows the driver to wipe down the door handles one last time and ensure the climate control is set to a comfortable 20 degrees Celsius.

In October 2024, we recorded an average delivery time of 48 minutes across 83 different bookings. We track this data weekly to see if any specific roadworks are slowing us down. If a route becomes too congested, we switch to our secondary path through the Newbridge roundabout, which adds 1.4 miles but saves about 7 minutes during the afternoon rush.

No desks and no queues

The biggest delay in car rental is the physical desk. Standing in line for 25 minutes to show a license you've already uploaded is a waste of time. At Thistrict, we handle all the identity checks digitally through our secure portal 24 hours before you arrive. When the driver meets you at the terminal, they perform a 3-minute visual ID check and hand you the keys. There is no clipboard and no sales pitch for extra insurance that you don't need.

Our drivers are trained to be efficient, not talkative. They will help you load your luggage into the boot and show you the basic controls of the car in under 2 minutes. We found that most business travelers want to get to their hotel or office as quickly as possible. Since our founding in 2018, we have focused on this 'keys in hand' approach. It's why 67% of our clients are repeat customers who book with us every time they visit Scotland.

Honestly, we aren't the cheapest option in Edinburgh. You can find a budget hatchback for £35 less per day if you are willing to ride a shuttle bus to a remote lot and wait in a 40-minute queue. We work with managers who value that hour of their time more than the price of a decent lunch.

Why we skip the stickers

Most rental companies cover their cars in logos because it's free advertising. We think it looks messy. If you are arriving for a board meeting at a firm on George Street, you don't want to turn up in a car that screams 'rental'. Our cars are completely unmarked. This also provides an extra layer of security when the car is parked at a hotel overnight. It just looks like a well-maintained private vehicle owned by a local professional.

This lack of branding is a core part of our aristocratic blue fleet philosophy. We keep the cars clean, inside and out, using a waterless wash system that takes 11 minutes but leaves a better shine than a standard car wash. We also use a neutral-scent interior cleaner because we know many people find heavy 'new car' perfumes annoying during a long drive. It's about being practical and staying out of the way of your business trip.

We currently serve a small group of 47 active clients who appreciate this low-key approach. Whether you are driving to a site visit in Fife or a dinner in the New Town, the car fits the environment. Our team of 7 people works hard to make sure that the car you see on the website is exactly the car that arrives at the terminal.
